Administration
Chief Financial Officer/Director of Human Resources
Saint John’s Catholic Preparatory School, an independent Catholic coed high school, seeks an experienced, professional Chief Financial Officer/Director of Human Resources.
This is a senior level, professional position, reporting directly to the Head of School. This position is considered part of the Administrative Leadership team. This is a 12month, full time position and must work on campus. It is not remote.
This position is responsible for two distinct areas: Finance – both Financial Reporting and Accounting Operations and Human Resources - Employee Payroll/Benefits and HR General. This position has two direct reports, one full time Bookkeeper and one part-time Human Resources Specialist.
ACCOUNTING/FINANCIAL REPORTING
Responsibilities:
- Prepare bank reconciliations and financial statements monthly in a timely manner. This includes Statement of Cash Flow, Balance Sheet, Income Statement, Budget to Actual report and the Financial Dashboard
- Prepare schedules, reports and analysis for review and annual audit. This includes Depreciation, monthly recurring journal entries, Capital Campaign analysis and PV calculation, etc.
- Prepare reports for Finance Committee and Board meetings. Assist the Chair of the Finance Committee and Head of School in formulating financial strategies.
- Prepare the annual budget in consultation with the administrative team and Finance Committee. Maintain accurate flow of expenses and income. Prepare monthly budget reports for various areas of the school, including, but not limited to, Athletics, Advancement/Development, Marketing, Admissions, Academics, School Support Services.
- Post prepared deposits to QuickBooks to ensure segregation of duties. Review and mail all Accounts Payable payments after processing Bookkeeper, to ensure segregation of duties.
- Directly responsible for accounting of Capital projects and refinancing/debt structure of SJCP.
- Maintain an active list of lease agreements and their renewals.
- Prepare documentation for banking including signature card update, loan renewal, letter of credit, and credit card merchant services. Respond to requests for information.
Oversee Accounting Operations (Bookkeeper):
- Process and record accounts payable. Prepare bill payment checks for signature. Record tuition payments, miscellaneous receipts, and cash receipts.
- Tracking and record enrollment contracts and tuition deposits. Record tuition, fees, and financial aid awards to student accounts. Record all Accounts Receivable. Assist parents in setting up for automatic tuition (FACTS) payment accounts.
- Verify financial aid awards with Director of Enrollment Management. Maintain spreadsheet for tuition and aid.
- Set up billing for bus contracts. Maintain rider list.
- Count and record daily cash receipts. Prepare deposits. Take deposits to bank.
- Assist staff in purchase order preparation. Ascertain proper signatures are obtained.
- Process all payments via credit card and enter into QuickBooks. Enter all checks received into QuickBooks, regardless of nature of check origination or destination. Enter all online donations into QuickBooks.
- Reconcile various accounts on a regular basis with Advancement Office.
- Assist in the month-end reconciliation process and enter Journal Entries, as necessary.
HUMAN RESOURCES
Responsibilities:
- Prepare all faculty contracts and staff employment agreements and offer letters. Advise and assist on any personnel matters. Oversee staffing and help facilitate annual staff evaluations.
- Prepare annual salary budget, implement any salary adjustments. Maintain spreadsheet of salaries and stipends
- Negotiate and acquire health, dental and vision benefits for the school.
- Administer the employee 403(b) benefit program.
Oversee Human Resources Specialist:
- Prepare bi-monthly payroll. Maintain record of leave for hourly employees.
- Implement insurance coverage for the school and health/life insurance program ffor employees and facilitate the election process and submit through payroll.
- Record elections and contributions to the employee 403(b) benefit program.
- Maintain historical records and files. Prepare and maintain employee files
- Post all job openings and facilitate the initial communication and set up of interviews
- Keep track of all fingerprints and utilize CJIS and SAM portals to “hire” employees
- Manage and maintain all MSDE compliance documentation and reporting requirements
- Keep current and knowledgeable of tax laws to ensure the school’s compliance.
- Work directly with Worker’s Comp or Unemployment claims
- Assist in updating and preparing yearly employment handbooks
OTHER
- Member of the Financial Aid Committee; responsible for direct contact with outside organizations who give scholarships to SJCP students
- Manage and oversee the Grant-in-aid program
- Consult with Advancement Director for documenting and reporting of fundraising and grants.
- Process and record transactions and maintain records relating to building projects and project financing related to Capital projects and the Capital budget
- Solicit, review and renew school insurance policies; Liability, Director and Officer, Workers Comp, to ensure adequate coverage and necessary changes are applied.
A bachelor’s degree in accounting is required, an advanced degree is preferred. A solid background in accounting, financial statements, budgeting, and financial analysis are a must. An in-depth knowledge of Human Resources and its various components is required. An in-depth knowledge of QuickBooks is a must.

Director of Marketing
Saint John’s Catholic Prep, Maryland’s oldest Catholic High School founded in 1829, is growing. We are seeking a full-time Director of Marketing. This position will be responsible for supporting and promoting the school’s mission, vision and values while leading initiatives to enhance the visibility and public perception of Saint John’s Catholic Prep. This position will assist in the development and implementation of a marketing plan that supports all areas of the school, including but not limited to admissions, development, academics, athletics, and fine arts. This position will work with the Head of School to define the messaging and branding of the school.
Position Responsibilities:
Marketing
- Develop and implement an annual marketing plan
- Create and place all advertisements (print, radio, tv, online ads)
- Manage all school social media platforms
- Manage our online presence, image, and reviews on listings and sites dedicated to area high schools, such as Google, Yelp, Niche.
- Assist Website and Database Administrator with overseeing website, both layout and content
- Assist Website and Database Administrator with Viking Voice newsletter
- Oversee photography for all major school events and functions
- Work with local media on press releases
- Manage school’s relationships with outside vendors such as marketing and printing firms.
Experience:
The ideal candidate should have two or more years of marketing and communications experience. The following experience/skills are preferred:
- Exceptional written and verbal communication skills.
- Experience with a website and social media content management system
- Strong organizational and time-management skills.
- Capability of balancing multiple projects simultaneously in a deadline-driven environment.
- Strong editing skills.

Substitute Teacher
Substitute Teacher
Saint John’s Catholic Prep is searching for caring professionals to serve as substitute teachers.
Duties and Responsibilities:
- Assumes all duties and responsibilities of the regular teacher in a given day
- Follows lesson plans provided by classroom teacher to facilitate appropriate learning experiences for students
- Maintains appropriate records in the absence of the teacher
- Supervises students in a variety of school-related settings
- Ensures all materials are read and prepared for instruction
- Monitors student outcomes
- Maintains appropriate records in the absence of the teacher and follows required procedures and practices
- Monitors appropriate use and care of equipment, materials and facilities
- Collaborate and communicate effectively with students, parents, colleagues, and administrators as needed
- Other duties as assigned
Qualifications:
- Minimum of 60 credits of college coursework from an accredited institution
- Clean background check which includes fingerprinting
- Previous teaching experience in a professional setting preferred
- Positive, creative, solution-oriented person

The ideal candidate has a demonstrated passion for education, previous experience with secondary school aged children, and a comfort level working in an educational environment. While independent school experience is preferred, it is not required.
